AP/Payroll Coordinator Maternity Coverage

Reports to: Director of Finance

Position Summary:

This position has responsibility for both the Accounts Payable and Payroll functions.

Essential Functions/Responsibilities:

Accounts Payable

  • Review invoices for accuracy and completeness
  • Process vendor invoices in accordance with terms and conditions, apply discounts, ensure proper coding, and appropriate approvals
  • Enter invoice data and pertinent information into the Accounts Payable system
  • Generate weekly check runs
  • Process employee expense reports

Payroll

  • Process weekly and semi-monthly payroll timely, in accordance with payroll schedule
  • Calculate employee wages and deductions including vacation, earned time, and shift differential
  • Extract data from the Workforce Now ADP time keeping system to compute employee hours
  • Post payroll data in payroll system timely and accurately
  • Monitor and adjust Longevity pay for employees
  • Monitor and adjust attendance points or credits in employee record on weekly basis
  • Prepare and distribute attendance reports on weekly basis
  • Enter, edit, and update payroll changes to the employee record received from human resources
  • Verify hourly employee discrepancies with Shift Supervisor
  • Set up new employee data in cooperation with HR
  • Perform monthly closing tasks associated with P/R
  • Communicate regularly with employees regarding payroll related questions or clarifications
  • Review and reconcile employee deductions to approved deduction amounts based on employee approval and employee insurance contributions elections

General

  • Maintains and keep A/P and Payroll files up to date
  • Organizes, sorts and file documents and reports regularly
  • Adheres to operating procedures and compliance guidelines including federal and state laws and regulations
  • Support, subscribe to and practice, 5S, JIT and Process Improvement activities
  • Observe safety procedures and conduct, use equipment and materials properly
  • Support 5 S programs
  • Observes safety procedures and uses equipment and materials properly

Knowledge, Skills and Abilities:

  • Knowledge of Accounting software and ADP
  • Proficiency using Excel and Word
  • Hands-on experience processing payroll in an expeditious and timely manner
  • Thorough understanding of employment wages, deductions, taxability in accordance with federal and state laws
  • Must be familiar with A/P practices and procedures
  • Strong verbal and written communications skills
  • Excellent organizational and problem-solving skills
  • Strong analytical skills
  • Detailed orientated with attention to accuracy and thoroughness
  • Willing and adapt to changes in the work environment and manage competing demands
  • Ability to prioritize, multitask, and troubleshoot activities
  • Ability to deal with frequent changes, delays, or unexpected events
  • Proven ability to maintain confidentiality

Qualifications:

  • Minimum Bachelor’s Degree, B.S. in Accounting and/or Finance preferred
  • 2-4 years experience working with accounts payable and payroll
  • Work well within a team environment, and ability to act independently

Typical Physical Demands:

  • Finger dexterity and hand/eye coordination for operation of office equipment, including PC
  • Sitting for periods of time, working at a desk in office environment
  • Light lifting, carrying of files, supplies, ability to move, carry, lift up to 30 lbs. of objects and/or materials
  • Ability to speak and hear customers, vendors, and or other employees via phone or in person
  • Requires sufficient autonomy, standing and walking to move for one office location to another and throughout the plant
